Renovation & Project Requests

The UNBC Facilities Management Department coordinates interior space renovations and other projects within UNBC facilities to maintain cost-effective delivery and a high standard of execution.  Accurate budget preparation and planning are key elements to this process.  As such, it is important that the complete scope, impact, cost and timeline for a project be identified at the outset.  This can then be communicated to the relevant stakeholders, and the appropriate funding approvals can be granted prior to commencing construction work.

To request a renovation project please fill out the Renovation and/or Project Request Form in full and return to Facilities Management.

Renovation & Project Request forms are reviewed biannually each year in November and May.  Once the concept is approved and a funding source identified, project specific planning can proceed.  With larger or more complex projects this includes a drawing to identify the complete scope plus a detailed budget to establish the costs.  Facilities staff will work with project proponents to identify the full scope of the work, and to produce a realistic project budget.  Once these items are complete the form is to be sent to the appropriate Dean or Director for approval.  At this time the funding approval must also be granted and account codes listed on the form.

Once the Project Request Form is completed the project can be scheduled for implementation.  The timing for construction depends on many factors, including the Facilities workload, access to the space, availability of trades and material delivery lead times.

In order to ensure that projects are implemented in an orderly and cost-effective manner, Facilities will not respond to service requests for items that are included within the scope of a project.  If the project is approved, the item will be completed as part of the overall project.  If the project is not approved, or funding is not available, then the overall project request will be cancelled.  The appropriate approval process is not to be subverted through ad hoc project delivery of incremental Service Requests.
